How to edit Order Items

You can edit items in an order using the Order Manager in Auctiva Commerce. This tutorial will show you how to add, delete and edit order items for a particular order.

How to add product items to an existing order

New items can be both products and non-product items, such as shipping charges, handling fees, discounts, credits, charges and taxes. This section will show you how to add a product to an order. See the other sections below for instructions on adding non-product items and editing line items. Be aware that when you make changes to order items, the ending balance may change and a refund or additional charge will be necessary to clear the balance.

Step 1. Find the order.
  • Click Orders icon in the upper-right corner. This will take you to the Order Manager.
  • Find the order number of the shipment you need to edit. Use the search tools if necessary. Click the "Details" link on the right of the order that needs order items edited.
Step 2. Edit order items.
  • Click the Edit Order Items tab. This will load the Edit Order Items page.
  • Click the Add Product button.
  • Find Product: Enter the full or partial name of the product you want to add.
  • Click the Search button.
  • Use the green Add button to add the product to the order.
  • Quantity: Enter the quantity you want to add to the order.
  • Shipment: Choose the appropriate shipment for this item.
  • Click the Save button. The Edit Order Items page will load.

This completes the task of adding products to an existing order. You can add as many products as you need to using the Add Product button.

How to add other items to an existing order

Other items include non-product items, such as shipping charges, handling fees, discounts, credits, charges and taxes. You can add these items to an order to correct for any customer ordering mistakes.

Step 1. Find the order.
  • Click Orders icon in the upper-right corner. This will take you to the Order Manager.
  • Find the order number of the shipment you need to edit. Use the search tools if necessary. Click the "Details" link on the right of the order that needs order items edited.
Step 2. Edit order items.
  • Click the Edit Order Items tab. This will load the Edit Order Items page.
  • Click on the Add Other Item button.
  • Item Type: Choose the type of item you want to add (i.e., shipping, handling, tax, discount, charge or credit).
  • Name: Enter the desired name. This is the name that your customer will see on their shipment and order information.
  • SKU: Enter the stock keeping unit, or the identifier you use for this item. This is optional.
  • Price: Enter the desired price. Note: if you are adding a discount for an existing order, the price should be a negative amount (e.g., "-5.00"). Entering a negative or positive integer will change the ending balance of the order.
  • Quantity: Enter the desired quantity.
  • Shipment: Choose the shipment for this item. In most cases, you should specify a shipment as it will display to the customer when you ship the order. The "Unshippable/No Shipment" option should be used for digital goods, which will be supported in a future release of Auctiva Commerce.
  • Click the Save button.

This will take you back to the Edit Order Items page. You can verify the changes to your order by clicking on the Shipments tab to view the Shipments page.

How to edit order items of an existing order

Editing order items will allow you to change prices and quantities for line items.

Step 1. Find the order.
  • Click Orders icon in the upper-right corner. This will take you to the Order Manager.
  • Find the order number of the shipment you need to edit. Use the search tools if necessary. Click the "Details" link on the right of the order that needs order items edited.
Step 2. Edit order items.
  • Click the Edit Order Items tab. This will load the Edit Order Items page.
  • Click on the Edit icon of the line item if you want to adjust the quantity or price of the line item. The Price and Quantity fields will become active.
  • Change the Price per item or Quantity of items in the line item as necessary.
  • Click on the Save icon to finish. The changes have been saved.

This completes the task of editing line items of an existing order. You can continue to edit more line items as necessary for the Edit Order Items page.

How to delete order items from an existing order

Deleting order items will remove a line item from an order. This will change the ending balance of an order if the customer has already paid.

Step 1. Find the order.
  • Click Orders icon in the upper-right corner. This will take you to the Order Manager.
  • Find the order number of the shipment you need to edit. Use the search tools if necessary. Click the "Details" link on the right of the order that needs order items edited.
Step 2. Edit order items.
  • Click the Edit Order Items tab. This will load the Edit Order Items page.
  • Click on the Delete icon of the line item if you want to remove from the order.
  • A warning will prompt you that the action of deleting a line item can’t be undone.
  • Click the Ok button to complete the delete task. The changes have been saved.

This completes the task of deleting line items of an existing order. You can continue to edit and delete more line items as necessary for the Edit Order Items page.
