How to add a product in Auctiva Commerce

When you add a product to the inventory, you'll see a great deal of options that help determine the taxes, shipping, display options and inventory control for this product. This tutorial will show you how to add a product to the inventory. It will also explain the meanings of the various fields in the product Details page.

Step 1. Add a product.
  • Go to Inventory> Manage Inventory.
  • In the Categories box, click on the category that the product should reside. If there is no category for this type of product, you can create a new category. Consider reading the "How to add a category" tutorial for specific instructions.
  • Click on the Add Product button.

You have created a new product and you're now at the Add Product page that has multiple product sections to choose from. We'll start with the Basic Info section and define the basic product details. Remember to save your changes as you go along by clicking the Save button. If you navigate away from this page before saving, the product will not be saved.

Step 2. Enter basic information.
  • Locate the Basic Info section of a product Details page.
  • Name: Enter the name of the product. Product names typically include the manufacturer and model name. They can also include any unique identifiers or keywords. The name you enter will be the hyperlink that customers will click on in your storefront to see the product details. Product names can be a maximum of 100 characters, but you may want to consider using only 70 characters if you use Google Base as that is their maximum product name requirement. If you choose to use more than 70 characters, Google Base will truncate your product name.Valid characters: alpha-mumeric characters and .,:_&$%#@!-'
  • SKU: Enter the stock keeping unit (SKU) or unique product identifier for this particular product. The SKU will display on the storefront as the item number. This field is optional. Valid Characters: alpha-numeric characters and .,:_-'
  • Price: Enter the price for the product. This is the price customers will pay for the product. This value is the base price that is used to calculate the total price after pricing rules, coupons, discounts and taxes are applied.
  • MSRP: Enter the manufacturer's suggested retail price (MSRP) for the product. The MSRP price will display with a line through it on the storefront next to the product price. If you leave this field blank, the MSRP will not be displayed. This field is optional.
  • Manufacturer: Choose the name of the manufacturer for the product. If this is a new manufacturer, click the "New" link and the Add Manufacturer modal will load. Enter the manufacturer's name and Click the Ok button to close the modal. When you select a manufacturer, the name will display below the product name. It will also enable a customer to search for more products by the same manufacturer. This field is optional. Valid characters: alpha-numeric characters and .,:_-'
  • Manufacturer Part Number: Enter the part number that corresponds with the product. This information doesn't display on the storefront. It's used for administration purposes only.
  • Condition: Choose the condition of the item. The "New" option is for products that are new, the "Used" is for used or pre-owned items and the "Refurbished" option is for products that have been refurbished. This field is optional, but it is required for Google Base feeds.
  • UPC: Enter the UPC (Universal Product Code) for this product. The UPC must be 12 digits. You may add an optional space in the middle of the UPC code. This field is optional.
  • ISBN: Enter the ISBN (International Standard Book Number) for this product. The ISBN number should be in this format: XXX-X-XX-XXXXXX-X. This field is optional.
  • EAN: Enter the EAN (European Article Number) if applicable. This field will be available April 11th, 2011.
  • JAN: Enter the JAN (Japanese Article Number) if applicable. This field will be available April 11th, 2011.
  • Gift Certificate: Check this box if this product is a gift certificate. If this box is checked, a gift certificate is automatically created when an order is made for this product. All products that are not gift certificates should leave this field unselected.
  • Variable Price: Check this box if you want to allow customers to enter in the price paid. When Variable Price is enabled you can enter the minimum and maximum allowable price.
  • Prohibited: Check this box if you want to prohibit this product from being purchased through Google Checkout. As Google Checkout is no longer an offered Payment Method, this field is not relevant
  • Hide Price: Check this box if you want to keep the price from being displayed on the storefront until the customer adds the product to the cart or clicks on the "click to see price" link.

This completes the basic product information for this product. Remember to click on the Save button to save any changes. Now, you can choose the display options for the product in the next section.

Step 3. Edit display options.
  • Locate the Display Options section of the product Details page.
  • Visibility: This is the option to hide or show the product on the storefront. The Public option will publish the product to the storefront for customers to view. The Hidden option means the product is unpublished on the storefront, but viewable through a direct link. The Private option means the product is only viewable by the merchant in administration. Use the Private option when you're adding new products that aren't ready to be sold on the storefront.
  • Featured: Check this box if you want the product to be displayed on the Featured Products section of your storefront.
  • Display Page: Choose which Display Page to use for the product on the storefront. The Inherit option will display the default page according to the theme and the global settings for the store.
  • Theme: Choose the theme you wish to use for the product on the storefront. If you choose the Inherit option, the theme will be the same as the storefront theme.
  • Disable Purchase: Check this box if you'd like to remove the Add to Cart button for this item. When this is enabled, customers will not be able to add the product to their cart. You can enable this option when you want to show a new product on the storefront, but you're not ready to sell the item yet.
  • Exclude from Feeds: Check this box if you want to exclude this product from the store's shopping feeds.

This completes the Display Options section. In this section, you chose how the product will be displayed. These options can be useful when you want to create new products but hide them until they're ready to be sold. In the next section, you can define taxes and shipping options for the product.

Step 4. Edit taxes and shipping options.
  • Locate the Shipping & Taxes section of the product Details page.
  • Shippable: Choose whether or not the product can be shipped to your customers. For products that need to be shipped separately, choose the Separately option.
  • Weight: Enter the shipping weight for the product. The weight should include all materials and accessories that ship as a whole unit of this product.
  • Dimensions: Enter the shipping dimensions of the product. Enter length, width and height dimensions for the product as it will be shipped to customers.
  • Warehouse: Choose a warehouse that the product will ship from. The Warehouse you choose can represent a different geographical shipping location, or it can represent unique shipping methods for products with specific shipping needs.   • Gift Wrap: Choose a gift wrap option if customers will have the option to gift wrap this product.
  • Tax Code: Choose a Tax Code for this product. Leave this field blank if you wish not to assess any taxes for this product. For more information about Tax Codes, see the Related Content section below.

This completes the Taxes & Shipping section. In this section, you defined the necessary shipping information that will be used to determine the cost of shipping with integrated shipping carriers. We also determined what Warehouse the product is associated with. In the next section, you can edit the inventory control options.

Step 5. Edit inventory control options.
  • Go to the Inventory Control section of the product Details page.
  • Cost of Goods: Enter in your cost associated with this product. This value is used to help calculate the profit of a sale. It's for administration purposes only.
  • Vendor: Choose a Vendor if applicable. If the Vendor to be added is not an option, you will need to add the Vendor. For specific instructions on adding a Vendor, read the "Add a Vendor" tutorial.
  • Minimum Quantity: Enter in the minimum quantity of this product that must be ordered. If there is no minimum quantity, the value should be zero.
  • Maximum Quantity: Enter in the maximum quantity of this product that can be ordered. If there is no maximum quantity, the value should be zero.
  • Inventory Tracking: Choose whether or not you will enable inventory tracking for this product. When inventory tracking is enabled, there are additional options that control product inventory. Follow these steps when you enable this feature:
    • In Stock: Enter the current stock level of the product.
    • Low Stock: Enter the stock quantity value that you will start to receive low stock email alerts for this product.
    • Allow Backorder: Check this box if this product can be ordered when it's out of stock.

This completes the Inventory Control section. In this section, the cost of goods, purchase limits and stock levels were defined for this product. Next, you can enter in the descriptions for the product.

Step 6. Edit the product descriptions.
  • Locate the Descriptions section of the product Details page.
  • Summary: Enter a brief product description in text form - no HTML. The Summary is displayed as the description of your product on the Auctiva Commerce Shop tab AND is used as the description of your item in your Google Merchant Center feed. Since it is used in your Google Merchant Center feeds it is very important that this field is accurately populated.
  • Description: Enter the product description. The description displays when the customer views the product's page on the storefront. This field is HTML editable. This means you can change the appearance of this field by manually editing the HTML code. Use the Edit HTML button to launch the HTML editor. When finished, click the Save button in the HTML editor.
  • More Details: Enter additional product details in this field. This field is displayed when a customer clicks on the "more details" link. This field is HTML editable. This means you can change the appearance the description by manually editing the HTML code. Use the Edit HTML button to launch the HTML editor. When finished, click the Save button in the HTML editor.
  • HTML Head: Enter in the HTML header for the product in this field. Make sure to only enter HTML into this field. You can use the Meta Generate tool for help. The purpose of the meta data is to give search engines additional information about the contents of the web page. This information helps search engines decide what websites to return for searches using these keywords. The meta data is not intended to be read by customers.
    • Meta Generate: Click on the Meta Generate link to launch the meta data generator modal. This tool can generate new meta data HTML code. In the Meta Generate modal, choose which meta element to insert into the HTML Head field. If you're in doubt about which to use, choose "name" and type "keywords" into the field to the right. In the Content field, enter the keywords you want associated with this product. Separate keywords by a comma only. For example, you could enter "nokia,pda,mobile,cell,phone" for a Nokia cell phone product. Click on the Update button to close the modal.
  • Search Keywords: Enter in the keywords that will return this product in searches from the storefront. You can put common misspellings in this field to ensure customers find what they're looking for.
  • Click on the Save button to finish.

This completes the Description section. In this section, the description, product details, HTML head, meta data and searchable keywords were defined. Remember to save often in this section, as it can be rather time consuming to create this content. Click on the Save button when you want to save your changes.

Product Tips

  • Research what keywords will perform well and apply those words to the product using the Meta Generate tool in the Descriptions section of the product's Details page.
  • When adding new products to your inventory before their public release, set the Visibility to Private in the Display Options section of the product's Details page.
  • To check the appearance of an unpublished product on your storefront, click on the Preview tab.
  • If you want to show a product on the storefront, but you don't want to take orders yet, set the Visibility to Public and check the Disable Purchase box in the Display Options section. You can inform your customers that the product will be available soon by typing the on sale date in the Description field in the Descriptions section.
